General Information for Dealers

The WTF Dealers Room is where you can find artists, writers, crafters, jewellers, costumers and other types who sell all the great stuff they have created.  You can also find a few commercial dealers.  It's a mix of the traditional Dealers room and Artist Alley found at other conventions.

Dealers Tables

Half-table spaces (either 3' or 4' x 2.5', depending on the table) are $35 each.  We only make a few full tables available ($50) in order to have as many dealers as possible;  they are first-come first-serve.  Please enquire first about availability.  (We'll note here when they sell out.) 


Table space is only guaranteed once paid. 


Payment method can be cheque or Paypal.  In addition to payment, you must submit the Registration Form. 


Table Rules
  • You can reserve tables for 1 day, 2 days or the whole weekend
  • You must be at your table a reasonable amount of the time (generally 60%).  If we find that you leave your table unattended too much, we reserve the right to rent out the table space to someone else after a fair warning.  You are allowed one assigned helper to cover for you if you have to leave;  please register them at the Dealer Reg table first so we know they're supposed to be there.
  • When requesting a table, please indicate any special needs you may require (wall space, electrical outlets, easy access for reduced mobility, etc.)
  • For non-commercial dealers, you must have created at least 50% of what you are selling.
  • All merchandise must follow the 14A rating of the Convention. No R-rated or adult material can be displayed in the Dealers Room or any other convention function rooms. We will monitor this closely.
 Adult Artwork Policy

Any adult artwork may be kept in a separate binder, and the binder must be kept off of the table itself

(ie: under the chair)

You may have a sign on the table advising people to ask about your adult artwork.

  • Fan art is allowed, but we ask that it is of original nature, not poses copied from existing commercial or copyrighted material.

Conditions and Regulations
  • Vendors and exhibitors will comply with all federal, provincial, and municipal laws and regulations, especially as relates to weapons and copyrighted materials.
  • Vendors and exhibitors are responsible for payments of applicable taxes, and for obtaining whatever licenses and permits may be required to sell or exhibit at What The Fur.
  • Neither What The Fur nor the hotel can be held liable for any harm which may befall a vendor or exhibit, including but not limited to damage, theft, personal injury, and whether the cause be accident, Act of God, negligence on the part of the hotel, What The Fur, or another vendor/exhibitor, or indeed any cause whatsoever. The vendor or exhibitor is solely responsible for his/her own property, and the property of others who may be harmed by his/her exhibit and/or actions related to his/her exhibit. The vendor or exhibitor is therefore advised to purchase insurance to cover personal injury and/or damage to property.
  • For security reasons, vendors and exhibitors are required to keep their designated areas clean, and to ensure passages and exits are kept clear. All merchandise, exhibits, chairs, shelving, and so forth must be maintained within each allotted area.
  • The premises must be returned to the same condition in which they were received, clean and undamaged. Vendors and exhibitors will be held responsible for any damage done to the building, or other exhibits. In the past, the Days Hotel has been tolerant as regards the use of tape on the walls, so long as the tape does not leave any sticky residue, but this is a privilege not a right, and one that may be lost to us forever if the hotel’s tolerance is abused. Indeed, What The Fur cannot say with any certainty that vendors or exhibitors will be permitted to use tape, so be prepared with alternatives.
  • What The Fur tolerates the sharing and “subletting” of table space, but holds the signatory below wholly responsible for compliance with our regulations, and for the payment of fees. Again, this is a privilege, not a right, and one that can be revoked by What The Fur at any time. Choose your friends wisely.
  • What The Fur reserves the right to ask for the removal of material which What The Fur in its sole judgement deems to be offensive, hazardous, possibly illegal, too noisy, or out of character for our convention. The sale of food and beverages is prohibited.
  • What The Fur will do its utmost to meet your requirements, but retains the right to alter its floor plan and/or opening hours if necessary to meet the objectives of the convention and the requirements of the hotel.
  • To facilitate the security of your exhibits, vendors and exhibitors will have access to the exhibit and dealer rooms no earlier than 30 minutes before opening hours, and must leave the room no later than 30 minutes after closing time. The rooms will be locked outside these hours. Dealers may begin setting up at 10:00 AM on Friday, June 4th, and may begin loading out NO EARLIER than 5:00 PM on Sunday, June 6th. The sales and exhibit areas must be cleared by 7:00 PM on Sunday. The vendor or exhibitor is solely responsible for setup and takedown.
  • In the event that What The Fur is cancelled, or obliged to close the dealer room for all or part of the convention, What The Fur shall reimburse the vendor or exhibitor on a pro rata basis. What The Fur is released from any claims arising from the consequences.
  • If the vendor or exhibitor fails to comply in any respect with the terms and conditions of this agreement, What The Fur has the right to terminate this agreement. What The Fur will retain the fees forwarded by the vendor or exhibitor as liquidated damages (not a penalty) it being agreed that What The Fur will be damaged by the exhibitors failure to comply, and there being no other precise method for determining What The Fur’s damages. Should a vendor or exhibitor fail to occupy his/her space, What The Fur will not reimburse the vendor or exhibitor, for the same reason, and may if it chooses re-assign or occupy the space as it wishes.
  • Any behaviour by the vendor, exhibitor, or the agents and representatives of the vendor or exhibitor, deemed to be disruptive in the sole judgement of What The Fur, shall result in expulsion from What The Fur, their memberships revoked, and fees non-refunded.


Artist Alley Rules
  • All sellers must purchase a 3-day membership to the convention (pre-registration is encouraged to prevent delays at the con and to save money)
  • Single-day table space assignments only
  • Half-table only (approximately 4'x30")
  • One person per slot
  • Same hours as the Dealers Room
  • Must use Dealer Cashier to handle transactions (Any dealers not turning in receipts from their sales will be removed from the Artist Alley and denied space until further notice). Only cash transactions will be allowed in the Artist Alley.
  • A 3% fee will be collected by the Dealer Cashier (3 cents per dollar; 30 cents per 10 dollars).
  • Sellers will be paid at the end of the day at the Dealer Cashier.
  • Table space must be cleared away at the daily closing.
  • Artist Alley sellers must follow the same rules as the dealers in the Dealers Room.

Artist Alley Hours


If a table is not claimed by the seller within one hour of opening times, the table will be forfeit to the next seller. Allowances will be made for Friday.


Friday: 3:00pm – 7:00pm

Saturday: 10:30am – 6:30pm

Sunday: 10:30am – 4:30pm


Signing Up for a Table in the Artist Alley


  • Applications will be accepted during the previous day in the Dealers Room at the Cashier
    • Thursday (night only) = Friday selling
    • Friday = Saturday selling
    • Saturday = Sunday selling
  • Names will be drawn randomly at the close of the Dealers Room the night before.
  • Slot assignments will be posted at Registration first thing in the morning
  • Any open slots or slots unclaimed by the daily deadline may be claimed by coming to the Dealer Cashier.

  • How it Works


    1. Sign up at the Dealer Cashier during the previous day (or Thursday night or Friday registration Until 3pm  for Friday slots)
    2. After the Dealers Room closes, the names will be drawn and assigned positions. This list will be posted first thing in the morning at Registration
    3. Artists winning a table space need to come to the Dealer Cashier during morning set-up hours to pick up their receipt book, which will be used to record their sales. No one will be allowed to sell in the Artist Alley without a receipt book.
    4. At the end of the day, the seller returns their receipt book to the Dealer Cashier and receives their payment for the day (cash transactions only).

    When a Customer Comes to your Table


    1. The customer will select the items they wish to purchase from you. Store these items behind your table. NEVER give the customer their items until they have actually paid for them!
    2. Give the customer TWO copies (white and yellow) of a receipt listing the items they wish to purchase and the items' cost. If purchasing multiples of the same item (i.e. 3 prints at $7 each), please make the cost clear. Either write the price per item AND how many they are buying (i.e. 3 prints @ $7 each), or do write the total (i.e. 3 prints $21).
    3. The customer will then take these receipts to the Dealer Cashier (located in the Dealers Room). The Cashier will validate both copies of the receipt with a special rubber ink stamp and return one copy to the customer.
    4. The customer will return to you WITH the validated receipt, and you give the customer the items they have purchased.

    If you have ANY questions about this process, please come see the Dealer Cashier BEFORE you start selling. (You can come ask questions at ANY time, but it's best to have a look at the receipt books and get your questions answered ahead of time before you have a line of people at your table. *smiles*)



    Artist Alley Rules



     RULES
    1. All wares and displays must be kept behind your table and within the space designated by the con as "yours". Any dealers who encroach upon other Dealers table space will be asked to move their wares and displays back into their own space.
    2. Lighted displays or displays involving loud or obnoxious music or sound are prohibited. Dealers must also keep their voices to moderate levels to as to not disturb the dealers and attendees around them. Shouting across the room or to gain attention to your table is NOT allowed.
    3. Displays, banners, wares, decorations, or other items which are hung from the walls or ceiling must NOT damage the walls or ceiling in any way. You may only use masking tape to fix items to the walls or windows. Please clean up your space before you leave, especially if you use tape.
    4. Keep all aisles open. Artists and their assistants must remain seated behind the table. All customers must also remain standing when in the aisles. Any dealer or customer blocking the aisles will be asked to move.
    5. Any dealers who are found selling items without using the Dealer Cashier will be given a first warning. Further infractions will result in expulsion from the con for that year and the dealer will be put on probation for future conventions.
    6. Dealers are to sell only their own goods or official releases of any DVDs, CDs, CD-ROMs. No pirated material will be allowed. No weapons or illegal substances will be allowed for sale at the convention.
    7. Setting up your table and Security: Dealers will be responsible for all materials (extension cords, phone lines, etc.) needed for setting up their space. If you need to leave your table unattended during the convention, have a trusted friend watch your wares. It is recommended that you remove your wares from the tabletop if your table will be unattended to dissuade thieves. Another recommended alternative is to drape the table with a sheet (your own, not the hotel's). What the Fur, the Hotel Espresso, and the surrounding dealers will NOT be held accountable for any items stolen or damaged accidentally during the convention (without viable proof of theft).
    8. The Dealers Room staff reserve the right to deny service to anyone. Any dealers, assistants, or customers instigating fights, being disruptive, harassing other persons (other dealers, assistants, customers, convention staff, hotel staff, or hotel guests), or otherwise disturbing the peace of the Dealers Room or Artist Alley who do not respond to requests to peaceably correct their behaviour will have corrective actions taken against them. Serious infractions can result in expulsion from the con and/or the hotel and may also result in the authorities being called.
    9. All dealers must abide by and are subject to What the Fur’s code Of Conduct while attending the convention.
